The client had just had a new set of Word templates designed to their brand, and visually they were exactly right. The problem was underneath the surface: the templates hadn't been built the way Word needs to be built, which made them inefficient to use and prone to formatting errors. We rebuilt the entire suite from the ground up, keeping the design faithfully intact while making the templates genuinely fit for daily use.

The challenge
The client had recently invested in a brand refresh, and a designer had produced a new set of Word templates to match. Viewed as static pages, the templates looked exactly as intended, polished, on-brand and ready to represent the business.
The trouble was what sat underneath that polish. The templates had been laid out the way a design tool lays out a page, rather than the way Word actually needs to be structured to stay stable. Elements had been positioned manually rather than built on proper styles, headings and page structure, which is a common gap between a design that looks right and a template that behaves right.
In practice, that meant the templates were inefficient for staff to actually use. Simple edits, adding a paragraph, adjusting a heading, inserting a new section, risked pushing the layout out of shape. Formatting errors crept in easily and were awkward to fix, turning what should have been a quick document update into a fiddly repair job.
The client didn't want a new design. The brand work was right and had already been signed off. What they needed was for that same look and feel to be rebuilt on a foundation that would actually hold up to everyday use in Word.
Our approach
We reviewed the templates as delivered by the designer, identifying exactly which elements were causing the inefficiency and formatting errors, from manually placed design elements through to missing styles and inconsistent page structure.
We rebuilt each template from the ground up using genuine Word styles, headings and page structure in place of the manual, design-tool-style layout, so the templates would hold their shape as staff actually worked in them.
Throughout the rebuild, we kept the templates visually faithful to the design the client had already approved, so the brand refresh they'd paid for came through unchanged, only now built on a structure that could support it.
Beyond fixing the underlying structure, we optimised each template to be as user friendly as possible day to day, so staff could edit and add content naturally without fighting the formatting or accidentally breaking the layout.
The outcome
The client now has the exact template design they signed off on, but rebuilt on a proper Word foundation rather than a design layout that happened to be opened in Word.
The formatting errors that came from manually placed design elements have been designed out at the structural level, rather than left for staff to work around or fix one document at a time.
Staff can now use the templates efficiently as part of everyday work, editing and building documents without the risk of the layout quietly breaking underneath them.
